INFORMATION FOR PRESENTERS

Instructions for presenters Revised September 9th

MICCAI 2021 will be a virtual conference where we want to take full advantage of the digital format including several interactive and discussion parts. Given that we have participants from many different time zones, we will have a 'prime-time' stretching for five hours that should give almost everybody an opportunity to join. To make the best use of this time slot, we will focus on live keynotes and oral sessions (dual track with live presentation and live Q&A) during this time. There will also be four interactive poster sessions every day, so that every participant should be able to attend some poster sessions within their timezone. We will also provide a mechanism for questions to be posted online so that attendees in different time zones are still able to communicate.

We will be using Pathable as our virtual platform (same as last year) and SpatialChat for the interactive poster sessions, coffee breaks and networking events. SpatialChat is an avatar-based video chat platform where we will have several poster rooms to simulate a live poster session (https://help.spatial.chat/hc/en-us/articles/360019120259-Basics-of-SpatialChat).

We ask you to prepare a video presentation as well as a poster and these, together with your paper, will be made available to all registered attendees several days before the meeting starts. The deadline for uploading this material will be 17 September. An invitation email with access information and detailed upload instructions to Pathable will be sent to the presenter via Pathable before the end of September 15th Pacific Time. If you do not receive an invitation email, please contact us at submission_support@miccai2021.org. Please check your SPAM folder before contacting us.

We request that you start preparing the following:

Oral Presenters

  • 10 minutes presentation to be given live during the oral session. Oral sessions are run as a Zoom webinar where you will present from your own computer and share your screen during your presentation, followed by live Q&A. Please ensure that you have a good internet connection, good microphone, and webcam available during your presentation timeslot and please make sure to test your audio and screen sharing in advance of the conference. Testing session will be available the week before the conference.
  • 10 minutes pre-recorded video of your presentation to upload to Pathable. Format: mp4 at 1080p, maximum file size 2 GB, encoded with H.264 (AVCHD) video codec and AAC audio codec. For uploaded videos, please keep the encoded video bitrate between 4.5Mbps and 6Mbps to balance quality and playback smoothness.
  • Poster PDF in landscape format and identical poster in PNG format to upload to Pathable. Maximum file size 3 MB. We recommend A0 size with at least 32 font size, 72 DPI (3370 x 2384).
  • All files (video, poster in PDF, same poster in PNG) must be uploaded to Pathable no later than 17 September. Your poster PNG and video will be pinned to SpatialChat by the administrative team instead of the presenter. Therefore, it is of utmost importance that you respect the upload deadline of Sept 17th. Do not modify your files after September 17th. Modification of any file after the deadline may break the link to your files between Pathable and SpatialChat. We will not be responsible should your files not be displayed properly in SpatialChat due to file modification.
  • Your uploaded files will remain visible to conference participants in the year after the conference. Your poster in PNG and your video will remain visible in SpatialChatfor during the whole conference.

Poster Presenters

  • 5 minutes presentation video to upload to Pathable. Format: mp4 at 1080p, maximum file size 1 GB, encoded with H.264 (AVCHD) video codec and AAC audio codec. For uploaded video please keep the encoded video bitrate between 4.5Mbps and 6Mbps to balance quality and playback smoothness.
  • Poster PDF in landscape format and identical poster in PNG format to upload to Pathable. Maximum file size 3 MB. We recommend A0 size with at least 32 font size, 72 DPI (3370 x 2384).
  • All files (video, poster in PDF, same poster in PNG) must be uploaded to Pathable no later than 17 September. Your poster PNG and video will be pinned to SpatialChat by the administrative team instead of the presenter. Therefore, it is of utmost importance that you respect the upload deadline of Sept 17th. On your poster presentation day:

All presenters are expected to be available during their assigned poster session to interact with conference participants in SpatialChat. Presenters will be able to show any content to the audience directly through sharing their screens. Please ensure that you have a good internet connection, good microphone, and preferably a webcam available for your presentation. Detailed instructions on how to use SpatialChat and how to locate your poster in SpatialChat will be posted on the conference website the week before the conference. The current presentation schedule is available here. Any rescheduling request must be made no later than September 15th.

Oral presenters only:

In addition to your poster presentation, you will be giving your 10-minute presentation LIVE. We will be using Zoom Webinar for all oral sessions. Please ensure that you have a good internet connection, good microphone, and webcam available during your presentation timeslot and please make sure to test your audio and screen sharing in advance of the conference. Testing sessions will be available the week before the conference.

For the duration of the Conference:

Your poster and your video will be available for viewing in both SpatialChat and Pathable for the entire conference duration. Conference attendees will be encouraged to use the discussion function in Pathable to communicate with you outside of your poster session. Please check your poster page on Pathable to answer questions frequently. Conference attendees will also be able to schedule a meeting with you via Pathable. Detailed instructions on how to use Pathable will be available at the FAQ section of the MICCAI Pathable site.

As a reminder, the presenter of your paper must register for the conference in order to access both Pathable and SpatialChat. If there is a change of presenter, please let us know as soon as possible.
